What a clear purchase order includes

  • Your business name, address and contact details
  • A unique order number, for the supplier to quote on their invoice
  • The order date and the date the goods or services are needed by
  • The supplier's name and address
  • What you are ordering, how many, and the agreed price for each
  • The delivery address
  • Who authorised the order

A purchase order has no HMRC requirements of its own. The supplier's invoice that answers it must meet the invoice rules.

Questions

Is a purchase order legally binding?
Once the supplier accepts it, it normally forms the contract for that order on the terms it states. Put anything that matters — price, delivery date, payment terms — on the order itself.
Should the prices on a purchase order include VAT?
Show the prices as agreed with the supplier, and the VAT rate if they are VAT registered. The order shows the VAT separately so the total is clear.
Is this purchase order template free?
